1. Who we are and what this policy covers

Steady Hand Partners ("we", "us", "our") provides fractional leadership, consulting, and contract and permanent placement of senior technology, data and delivery professionals.

This policy explains how we collect, use, disclose and protect personal information. It applies to:

  • professionals who are on our panel, in our network, or who contact us about work ("candidates")
  • people who work for organisations we deal with ("clients")
  • referees
  • anyone who uses steadyhandpartners.com.au.

We handle personal information in line with the Australian Privacy Principles in the Privacy Act 1988 (Cth).

2. What we collect

Candidates

  • Name, email, phone, location and LinkedIn profile
  • CV, work history, qualifications, skills and achievements
  • Day rate or salary expectations, availability and the kinds of work you are open to (fractional, contract or permanent)
  • How you engage, for example through your own company or through our payroll provider
  • Notes from our conversations with you
  • Referee details and what referees tell us, with your permission

Clients

  • Name, role, organisation, email and phone
  • The roles, problems and requirements you share with us

Website visitors

  • What you enter in our contact form: name, phone, email, company, requirement and engagement model
  • Technical information collected by our website platform, such as pages visited, browser type and approximate location. See section 9.

What we do not collect

We do not ask for sensitive information such as health information, racial or ethnic origin, religious or political views, or sexual orientation. If a client requires a background check for a role, such as a police check, we will tell you first and it will only proceed with your written consent.

We do not collect your bank details, tax file number or superannuation details. Where you are engaged through our payroll provider, People2.0 collects these directly from you under its own privacy policy.

3. How we collect it

We collect personal information:

  • directly from you, when you send us a CV, talk to us, email us, or use our contact form
  • from referees you nominate
  • from people who recommend you to us
  • from public sources, such as your public LinkedIn profile.

If we receive personal information we did not ask for and do not need, we will destroy or de-identify it.

4. How we use it

We use personal information to:

  • understand your experience and the work you are looking for
  • match candidates with clients and roles
  • prepare candidate briefs and anonymised panel cards (section 5)
  • arrange interviews, engagements and placements
  • arrange payroll and insurance through our payroll provider
  • invoice and manage our client relationships
  • keep in touch about relevant opportunities and SHP news (section 10)
  • meet our legal obligations.

We will not use your information for an unrelated purpose without your consent, unless the law requires or allows it.

5. The Fractional Front Door and candidate briefs

Panel cards. Our website shows anonymised cards for people on the SHP panel. A card describes a person's experience, capacity, location and indicative rate band. It never shows their name or employers. We only publish a card with the person's consent, and we take it down within two business days of a request.

Briefs. When a client asks about a reference code, we send a brief describing that person's experience. The first brief does not name the person. We share names, employers and contact details only once both the client and the candidate want to go further, and the client has agreed to our terms, including confidentiality.

6. Who we share it with

We share personal information only as needed for the purposes in section 4:

  • Clients. We share candidate information with a client only with the candidate's agreement, and only as described in section 5.
  • Our payroll provider. People2.0 acts as employer of record for some engagements.
  • Referees. We confirm the details you give us.
  • Service providers. These run our systems: website hosting, email and file storage, AI services we use to analyse CVs and prepare briefs (section 8), and LinkedIn. They may only use the information to provide their service to us.
  • Anyone the law requires us to share it with.

We do not sell personal information.

7. Overseas disclosure

Some of our service providers store or process information outside Australia, most likely in the United States. They include our website platform (Squarespace), our AI service provider (Anthropic), LinkedIn and our email and file storage provider (Microsoft). We take reasonable steps to make sure these providers protect personal information to a standard consistent with the Australian Privacy Principles.

We do not otherwise send candidate information overseas unless a client or role is overseas and you have agreed.

8. Computer programs and AI

We use computer programs, including AI services, to:

  • analyse CVs
  • draft candidate briefs and panel cards
  • identify organisations whose current needs match a candidate's experience.

Nothing is decided automatically. A person, our founder, reviews every brief and card before it is shared, and makes every decision about whom to put forward and to whom. If you want to know more about how a program was used in relation to you, contact us (section 13).

9. Our website and cookies

Our website runs on Squarespace. Squarespace uses cookies that are needed for the site to work, and analytics cookies that tell us in aggregate which pages are visited. We use this information to improve the site, not to identify individual visitors. You can block or delete cookies in your browser settings. The site will still work, though some features may not.

Information you submit through the contact form is stored by Squarespace and sent to our email.

10. Keeping in touch

We may contact candidates about relevant opportunities, and clients and contacts about our services. You can ask us to stop at any time by replying to any message or emailing info@steadyhandpartners.com.au. We will action the request promptly.

11. How we protect it

We take reasonable steps to protect personal information from misuse, interference, loss, and unauthorised access, change or disclosure. These include:

  • multi-factor authentication on our business systems
  • encrypted devices
  • access limited to the people who need it
  • confidentiality obligations on clients who receive candidate information.

If we have a data breach that is likely to cause serious harm, we will tell the people affected and the Office of the Australian Information Commissioner (OAIC) as the law requires.

12. How long we keep it

  • Candidates: while you are active with us, then for up to two years after our last contact, so we can still offer you relevant work. You can ask us to delete your information sooner (section 13).
  • Clients and engagements: for as long as the law requires us to keep business and tax records, generally five years.

When we no longer need personal information, we securely delete or de-identify it.

13. Access, correction and deletion

You can ask to see the personal information we hold about you, or to correct it. Email info@steadyhandpartners.com.au.

We will respond within 30 days. Access is free. If we refuse a request, we will tell you why in writing and how to complain.

You can also ask us to delete your information or take down your panel card. We will do so unless we are required to keep it by law.

14. Complaints

If you are concerned about how we have handled your personal information, email info@steadyhandpartners.com.au. We will acknowledge your complaint within five business days and respond within 30 days.

If you are not satisfied with our response, you can complain to the Office of the Australian Information Commissioner at www.oaic.gov.au.
